We provide transaction coordination, broker compliance, and related services to licensed real estate agents ("Agents") from contract execution through closing, as well as additional agreed-upon hourly services.

 

This Policy explains how we collect, use, disclose, and protect personal information when you:

By using our Website or services, you agree to this Policy. If you are an Agent submitting client data, you represent that you have all necessary authority and consents (as detailed in our Terms & Conditions and any separate Agent Agreement).

Information We Collect

1. From Website Visitors

   • Personal identification (e.g., name, email, phone) if voluntarily provided via contact forms, discovery calls, or inquiries.
      

   • Usage data (e.g., IP address, browser type, pages visited, duration) collected automatically via cookies or analytics.
      

2. From Agents via Intake Form (New Contract Submissions)
   We process personal information about real estate transactions, including:
    

   • Agent details (name, contact).
      

   • Client/party details (e.g., Seller 1/2 phone numbers and email addresses, Buyer Agent info).
      

   • Property details (address, MLS #, vacant/occupied status, lockbox info, new construction).
      

   • Transaction details (type, commissions percentages, referral info, closing attorney).
      

   • Uploaded files (executed contracts, addenda, disclosures, brokerage docs).
      

   This data is submitted voluntarily by Agents to enable our coordination services. We do not collect this directly from buyers/sellers/clients.
    

How We Use Information
 

• Provide transaction coordination (e.g., document review, compliance, coordination with parties) and any additional agreed hourly services.
   

• Respond to inquiries and manage Agent requests.
   

• Improve services, analyze usage trends.
   

• Comply with legal obligations (e.g., record retention for real estate audits).
   

• Contact you (Agents) about services, updates, or transactions (you may opt out).
   

We do not sell personal information. Marketing is limited to our services or relevant real estate updates; no third-party partner sharing unless noted (currently none).
 

Sharing and Disclosure
We may share information:
 

• With service providers (e.g., Cognito Forms/JotForms for intake, secure storage/cloud tools, third party accounting software for invoicing) under contracts requiring confidentiality and limited use.
   

• In business transfers (e.g., merger).
   

• To comply with law, protect rights/safety, or respond to valid requests (e.g., court orders).
   

• As required for transaction coordination (e.g., sharing contacts with title/lender per Agent instructions).
   

Agents represent and warrant they have client consent/authority to share this information with us (see Terms & Conditions). We act as a service provider to Agents, not directly to consumers.
 

Data Retention
We retain transaction data as needed for service delivery, compliance, and legal purposes. Website visitor data is retained shorter-term unless needed longer.
 

Your Rights
 

• Access, correct, or request deletion of your data (subject to legal retention).
   

• Opt out of marketing contacts.
   

• For California residents (under CCPA/CPRA): We may process CA consumer data as a service provider to Agents. Rights (access, deletion, opt-out of sale/sharing) apply via the Agent or directly; contact us. We do not "sell" or "share" personal information for cross-context behavioral advertising.

Security
